Operations Coordinator

We are seeking an experienced Operations Coordinator to manage stock flow from purchase order through to warehouse, Shopify and customer delivery. You will work across purchasing, suppliers, freight, inventory and systems to ensure operational accuracy and timely execution within established workflows.

KEY RESPONSIBILITIES

  • PURCHASING AND PURCHASE ORDERS

    • Create and issue purchase orders using existing systems and templates.
    • Maintain PO records, barcode files and shared trackers.
    • Support invoice matching, payment update schedules and cost price updates.

     

    SUPPLIER AND FREIGHT COORDINATION

    • Track shipments from supplier to warehouse.
    • Coordinate with freight forwarders and maintain shipment schedules.
    • Ensure correct PO referencing on documentation.
    • Escalate delays or discrepancies to Directors.

     

    WAREHOUSE AND INVENTORY

    • Liaise with the warehouse to confirm inbound receipts and resolve discrepancies.
    • Monitor inventory accuracy in Shopify.
    • Investigate low, negative or backordered stock.
    • Support sample, staff and PR stock movements.

     

    SHOPIFY WEBSITE SUPPORT

    • Assist with product setup, pricing updates, collections and tags.
    • Support launches, presells and promotions.
    • QA website changes before and after go-live.

     

    SYSTEMS AND PROCESS SUPPORT

    • Assist with Customer Enquiries
    • Monitor operational apps and automations.
    • Maintain trackers, SOPs and documentation.
    • Flag issues, inefficiencies or risks.
    • Suggest process improvements as the business grows.

ABOUT YOU

  • 3+ years’ experience in eCommerce operations, supply chain or logistics coordination.
  • Strong working knowledge of Shopify, including products, inventory and orders.
  • Experience managing purchase orders, suppliers and freight coordination.
  • Comfortable working with warehouses, freight partners and external stakeholders.
  • Highly organised with strong attention to detail.
  • Confident with spreadsheets and shared trackers.
  • Proactive communicator who flags issues early.

 

This is a 2-3 day a week, casual or part-time role depending on the applicant.
